My Convention Booth Set-up, Checklist & Packing List

I’m really excited about how my convention booth turned out and wanted to pull all the convention researched I did, my art education, event planning knowledge and love for people in general to show you all the details of my booth for selling my new curriculum and the reasons behind what I chose to put in my booth and what my goals are.

I am blessed to have a barn for my mock set up for the convention booth but you could do this in your garage or basement.  My main goal for this mock setup was to bring everyone helping me set up and work at my booth to show them what I wanted, how to do it and answer questions so they don’t need me at the convention.  I am going to be speaking, talking about the product I created and selling so I am preparing my “staff” to not need me.  And by staff this time I mean my husband :) .  This also helps me think through how to pack for the convention. 

Good event planners know that as you set up for an event you want to try to touch each thing only one time.  For example, I know I want coloring pages on the table for kids so instead of just showing up with a stack of coloring pages someone in the “restock” box I am putting coloring pages in the “set up” box as well so we don’t have to be searching for the coloring pages during setup.  

So as you are tearing down your perfectly prepared booth you want to pack things in boxes with categories so you can find things and set up quickly. 

It’s important to have it all written down in your ever changing “Master Event Guide” and then paired down to the shortest document possible so other people can read your this and be able to come in as an employee in your booth when you need it.  The more you can outsource work, and the sooner you can outsource work, the faster your business will grow.  So get this master event guide perfected.
